Archival storage of documents and files is the responsibility of every organization

The obligation to store documents in the organization’s archives and storage periods are provided for by various laws.
Thus, the storage period for tax purposes is determined by the Tax Code. For accounting documents, the deadline is fixed by the Law “On Accounting” dated December 6, 2011 No. 402-FZ. How long to store documents on personnel is indicated by the Law “On Archival Affairs” dated October 22, 2004 No. 125-FZ. A set of storage periods can also be found in the order of the Federal Archive of Russia dated December 20, 2019 No. 236.

To make it easier for you to understand the storage periods for documents in the archive, we have compiled a consolidated table of the main documentation that arises in the course of work of any organization.

Document storage rules

It seems logical that all documentation should be stored in the organization. But in reality this is not necessary. For example, paragraph 2 of Article 50 of the LLC Law states that the company is obliged to provide access to documents to participants for review:

  • on the premises of the executive body (i.e. at the legal address)
  • in another place, if it is determined by the company’s charter or an internal document approved by the general meeting (board of directors, supervisory board) and published on its website.

In the organization itself, it is necessary to carry out storage in a specially equipped room or closed cabinets to prevent access to unauthorized persons. Individual documents will be stored in a safe (for example, BSO).

When the storage period expires, a special commission is assembled, a report is drawn up and the old documentation is destroyed.

Shelf life in the refrigerator using specific examples

Boiled eggs, chicken or tuna salad

Boiled eggs and salads with boiled/smoked chicken or canned tuna can be stored in the refrigerator for up to 7 days at a temperature not exceeding 4 °C. And you don’t need to season the entire salad with mayonnaise before storing, but only the part that you put out of the container onto a plate to eat. Store the rest without dressing.

Cooked meat and poultry

Boiled chicken, steak and pork tenderloin keep well in the refrigerator for 3-4 days. Store these dishes at room temperature for at least 2 hours, during which time they will definitely cool down. If you decide to put cooked meat (especially fried meat) in the freezer, think carefully: according to chefs, after defrosting it loses its taste and original texture.

Pizza

As with cooked meat and poultry, pizza can usually be stored in the refrigerator for 3-4 days. Just wrap the already cooled pieces tightly in baking paper to preserve the taste, or better yet, in cling film so that the pizza does not smell of the food surrounding it. Heat in a frying pan, covering with foil as a lid. In the oven, the pizza will become drier and may even burn around the edges.

Soups

Whether you make a pot of minestrone , chicken noodles , or kharcho , there is almost always leftover soup and it tastes even better the next day. Eat soups for 3-4 days, of course, before putting them in the refrigerator, be sure to cool them.

Although most leftover prepared foods can last for 3-4 days, there are exceptions, such as sushi and rolls ! Do not store them for more than 1 day, but rather eat them right away - fish is a perishable product, especially since its freshness is always in question, since we do not live on the sea-ocean.

Nuances of calculating shelf life

The first thing you should pay attention to when “bookmarking” a document in the archive is the moment from which the storage period begins to be calculated. Thus, for some personnel documents it starts immediately from the date of preparation, and for primary accounting documents - at the end of the reporting year.

For tax purposes, the storage period begins after the reporting period in which the document was last used to calculate taxes and participated in the generation of reporting.

The second important nuance is that the retention period established for one document by different legal acts may vary. If this is the case, you need to choose the maximum one.

Let us explain both nuances with an example.

An example of determining the storage period for a work acceptance certificate

Let’s say the act was drawn up on March 29, 2017. Let's determine its shelf life:

  1. As a primary accounting document confirming the accounting of expenses, it must be stored for 5 years from the end of the reporting year 2021, i.e. from 01/01/2018 to 12/31/2022.
  2. As a document confirming the fact of acceptance of the results of work for VAT purposes - 4 years from the end of the first quarter of 2021 (VAT tax period), i.e. from 04/01/2017 to 03/31/2021.
  3. As documentary evidence of income tax expenses - 4 years from the end of the “profitable” tax period of 2021, i.e. from 01/01/2018 to 12/31/2021.

We choose the latest date - 12/31/2022. After this, the document can be destroyed.

Sanctions for violating storage terms and rules

During a desk or field inspection, any government agency - the Federal Tax Service, the Social Insurance Fund, the Pension Fund of the Russian Federation, the labor inspectorate - has the right to request documents, so it is important to comply with the deadline. Do not destroy the archive before its storage period ends, otherwise you will face fines:

  • on the basis of paragraph 1 of Article 126 of the Tax Code of the Russian Federation - 200 rubles. for each document not provided;
  • on the basis of Article 120 of the Tax Code of the Russian Federation for a gross violation of the rules for accounting for income, expenses and taxable items (a gross violation means the absence of primary documents, invoices, accounting or tax registers) - from 10,000 rubles.

If the violation led to an understatement of the tax base - 20% of the amount of unpaid tax (insurance contributions), but not less than 40,000 rubles;

  • on the basis of Article 15.11 of the Code of Administrative Offenses of the Russian Federation - for gross violation of accounting requirements for officials - from 5 to 10 thousand rubles.

In case of repeated violation - from 10 to 20 thousand rubles (or face disqualification for a period of one to two years);

  • on the basis of Article 13.20 of the Administrative Code - for violating the rules for storing archival documentation - from 300 to 500 rubles.

Results

When organizing an archive in a company, you should remember that the storage periods for one document serving in different capacities can be established by different legal acts and therefore vary. In this case, the period should be calculated to the maximum. Until its expiration, the document must be kept in the company's archives and cannot be destroyed.

How long does a cake last?

The shelf life of baked dry cakes reaches a week. After layering with cream, jam, jam, butter, honey, the storage period is sharply reduced. The reason is perishable ingredients. Desserts with delicate creamy, curd layers are most susceptible to spoilage.

In the refrigerator, natural cakes are stored for up to 2-3 days, with the addition of preservatives for up to 5-7 days. You can only freeze anthills and dry cakes.

Without refrigerator

According to the rules, the cake should not be on the table. The dessert is cut up, placed on plates, immediately distributed to guests, and any excess is stored in the refrigerator. Only during the holiday everyone forgets about it.

Under room conditions, confectionery products with fresh cream, cheese, and cottage cheese do not sit for more than three hours. The shelf life of desserts with custard can reach 5-7 hours. The maximum shelf life of meringue is 30 days; with a layer of buttercream, storage is reduced to 18 hours.

In a refrigerator

At temperatures up to +6 degrees, the shelf life of cakes ranges from two days to a week. Homemade delicacies prepared without preservatives are stored worse. Industrial cakes and other cream products retain their taste and appearance longer, and are safe to eat due to the addition of special ingredients.

Capacities

Plastic containers in which cakes are sold slightly increase the shelf life. They help preserve the product during transportation to your home. But they don't work miracles. Cream products must be stored in the cold immediately.

Suitable storage containers:

  • carton boxes;
  • plastic containers;
  • cake dishes with lid.

What is not suitable:

  • open plates, spreads, saucers;
  • plastic bags;
  • metal containers.


Features of storing cakes at home

Other ways to store eggs

Storage without refrigeration is possible using one of the following methods:

  • place them in a salty solution at the rate of 1 liter of water per 25 grams of salt), so they will last for four weeks without loss of taste;
  • pour the concentrated lime mixture into clay pots from under flowers, place the eggs in them with the sharp tip down - up to four months, but the eggs themselves do not acquire a very pleasant smell;
  • wrap in newspaper, glossy or any other paper, put in a container, keep in a cool cabinet where the temperature is not higher than 10°C;
  • grease the eggs, put them in a box with oats, so that they are at some distance from each other;
  • grease each piece with a mixture of wax and vegetable oil or melted paraffin;
  • use sweetened water (2 kg of sand per 2 liters of water): bring the syrup to a boil, dip fresh eggs into it, then dry and put in a container;
  • grease with a mixture of bran and charcoal (wood).

Each of the options is good in its own way; to decide which one is right for you, do a little experiment. Leave one egg for storage for several weeks using each method, and then prepare an omelet. It will best demonstrate the preservation of the external and taste qualities of the product.

What determines the shelf life

The preservation of the nutritional properties of a dish depends on the following factors:

  1. Compound . When adding milk, herbs and other perishable ingredients, the shelf life is reduced.
  2. Temperature . It should be cool – +2°С-+6°С.
  3. Humidity . The more moisture, the higher the likelihood of mold formation. But if the humidity is too low, the eggs dry out quickly.
  4. Package . Cling film, foil and parchment help maintain freshness longer.
