Why is it necessary to maintain employee records?

As soon as an enterprise is registered, information about it is transferred to the military commissariat (see paragraph 19 of the “Rules for maintaining the Unified State Register of Legal Entities and providing the information contained therein”, approved by Decree of the Government of the Russian Federation of June 19, 2002 No. 438). The maximum period for transferring information about a new company is five days from the moment it is entered into the Unified State Register of Legal Entities - this is the responsibility of the registration authority, so “people in uniform” can come to the employer with a check at any time.

Therefore, all companies, regardless of their form of ownership, are required to keep military records of their employees (subclause 6, clause 1, article 8 of the Federal Law of May 31, 1996, No. 61-FZ, clause 7, article 8 of the Federal Law, dated March 28, 1998. No. 53-FZ) and promptly report information about them to the military commissariat.

Sample company card for LLC

Cards of enterprises registered in the most popular form of limited liability company (LLC) among entrepreneurs contain the same fields as cards of all other enterprises.

Perhaps the only difference is the need to indicate the full and abbreviated name.

It is advisable to issue an LLC company card on letterhead with company symbols, sign it to the manager and certify the signature with an official seal.

Cards of enterprises registered in other organizational and legal forms (OJSC, CJSC, JSC, UP), as well as cards of individual entrepreneurs, do not have any significant differences from the above.

The main thing to remember is the purpose for which it is being compiled and to whom it is planned to provide the information contained in it.

Form 18 is filled out every two years and submitted to the military registration and enlistment office by December 31 of the current year as of January 1 of the next year.

To quickly monitor the situation, traffic police officers must be aware of all these changes.

For this purpose, a standard document such as a vehicle registration card has been developed, and special registers have been created where such cards are placed.

What is the card for?

When purchasing a car, the owner faces several stages of registration, during one of which a vehicle registration card must be created. What is this? An accounting document through which traffic police officers collect, store, process and issue data regarding:

  • vehicles under their control;
  • trailers for them;
  • car owners or their legal representatives;
  • registration documentation forms;
  • state registration plates;
  • lost or stolen vehicles, as well as driver's documents.

With the help of a complex of such information, it is possible not only to have a holistic understanding of vehicles assigned to a specific traffic police department, but also to carry out search and mobilization activities with maximum efficiency, and to control the design of the car during technical inspection and registration. The head of the traffic police department is responsible for the accuracy of the data on the card. The document measures 207*147 mm.

How to get

In order to find out how to obtain a vehicle registration card from the State Traffic Safety Inspectorate, you should contact the State Traffic Inspectorate department where you want to register. Such a document can be filled out manually or electronically.

In the first case, 3 copies are created: the day of the local traffic police unit, the city authority assigned to your place of residence (or registration of a legal entity) and for sending to the regional file cabinet (Central Internal Affairs Directorate, Ministry of Internal Affairs, Department of Internal Affairs).

Cards are redirected within three days.

The first two copies are required for inclusion in the card index according to the series of the regional mark and the place of registration, as well as the city district of internal affairs (by enterprise or surname of an individual).

The process of creating a vehicle card was automated to establish prompt communication between different departments. In this format, electronic information enters the database of the regional accounting system, having undergone preliminary processing and verification.

Every day it is transferred to the system of the interregional department, which interacts with organizations of equal level in the request mode.

Separate card files are intended for temporarily registered vehicles: if a car is removed from temporary registration, its card is destroyed. In the case when a car is removed from permanent registration, its card ends up in a separate file cabinet, where it is stored for 3 years.

Filling rules

How to correctly enter data into a vehicle registration card is set out in the Order of the Ministry of Internal Affairs of the Russian Federation dated March 31, 1995 No. 125 (hereinafter referred to as the Order) and its annexes.

Thus, the process operation code is filled in using a special codifier, which can be found in Appendix 5. The date of the operation is filled in in a six-digit format without dots and spaces.

The registration plate should be indicated without the regional code.

If the car previously had another registration code, it should be indicated in a special field.

The identification number contains information about the manufacturer (the first 3 letters or numbers), the vehicle model (the next 6 characters), and the serial number assigned at the production site (the last 8 characters).

Data for the field about the make or modification can be found in the vehicle passport or registration certificate.

The vehicle type code can be determined using Appendix 7 to the above-mentioned Order. Then you should highlight the desired category of car (A, B, C, D) and the word “trailer” if you are going to use one.

The last 2 digits of the year of manufacture are indicated in a separate field. If it is impossible to install it, you should set o or “Not installed”.

The engine model and license plate number are indicated with a hyphen. The number values ​​assigned to the trailer and chassis are also indicated.

In order to determine the color of the body or cabin, use Appendix 8.

Engine power is indicated in units such as kilowatts or horsepower. The following fields include the permitted weight and the unladen weight. If this information is not in the vehicle passport, it can be found in the operating manual or the nameplate under the hood of the car.

To enter the manufacturer's code, use Appendix 6. In case of temporary registration, fields 19 and 20 are not required.

Codes for types of registration documentation are contained in Appendix 9, and types of ownership - in Appendix 10.

Digital designations of documents confirming ownership are indicated in Appendix 11.

Vehicle owner details

Legal entities are designated by the number 1, and individuals by 2. In order to indicate the code of the place of birth, you should be guided by the information specified in Appendix 4.

When denoting an identity document, it is worth putting 1 if registration is carried out in connection with a passport, and 2 - when an identity card is used.

When filling out the field with the address of the vehicle owner, you should use the abbreviations specified in the Order.

If registration is carried out in connection with a permanent place of residence, the number 1 is indicated, for a temporary place of residence - 2.

Field 39 is filled in with a four-digit code if the car is temporarily registered.

In the “Special Notes” section, you should indicate information about the presence of right-hand drive and other important information not included in the previous paragraphs.

A separate section is devoted to regular technical inspections: it will reflect the results of the inspection by the traffic police, the number and series of the coupon, codes of the subject, traffic police department and the official conducting the inspection. If during the reporting period the vehicle is found to be faulty twice, a second note is not entered into the card. Where is it provided?

The organization's registration card is drawn up in triplicate and filled out on both sides. The completed document is signed and certified by the director of the enterprise. After this, the form is sent to:

  • the first copy – to the regional reservation commission;
  • the second - to the military registration and enlistment office;
  • the third - to the archive of the enterprise.

If the card is presented to the district reservation commission for the first time, it is registered in the registration register. A mark to this effect is placed on all copies. The registration number must correspond to the number of the entry in the journal.

A letter code A or B is also assigned:

  • A - only control is carried out;
  • B - military registration and reservation of citizens who are in reserve are carried out.

Why do you need a company card?

The first contact in economic transactions between companies or firms is usually accompanied by the exchange of company cards.

Both sides will be able to enter the relevant data into their databases, and later double-check the information received through available sources.

Providing false information can already stop the active development of relations at the very beginning and affect the business reputation of the enterprise.

This is a good incentive for the head of the organization to fill out the card responsibly.

Information about the enterprise is important for automating the process of drawing up accounting, transport and other documents that are required in commercial relations.

Without a company card, it will be impossible to issue invoices, fill out invoices correctly, make non-cash transfers of funds, or send goods to recipients in fulfillment of relevant obligations.

This is due to the use of special software products, “tailored” to operate with accurate data about commercial organizations.

The ethics of business communication requires immediate notification of partners about changes in the content of information included in the card.

The enterprise itself is also interested in this, since incorrectly filling out the relevant fields in bank documents can lead to a complete stupor of document flow and cash flow.

Procedure for filling out the document

The organization’s registration card, form No. 18, is contained in the Letter of the Ministry of Culture of the Russian Federation dated October 21, 2015 N 344-01-39-VA “On the provision of an organization’s registration card.”

The organization's registration card, the form of which must be filled out by all organizations without exception, must contain:

  • date of completion;
  • registration number;
  • information about the manager (position, full name);
  • information about the employee who carries out the VU in the organization (position, full name);
  • information about the company (name, date, place of registration, legal address, actual and postal address, main OKVED codes, INN, OGRN, etc.);
  • information about employees in reserve;
  • and other information.

When booking citizens who are in reserve, the card indicates: the number of reserved citizens who are in reserve, the number and section of the list of positions and professions for which citizens are booked.

The completed document is signed by the manager and certified with a seal.

What is a company card?

An enterprise card is a document containing a set of data that individualizes an enterprise, used in economic circulation to identify and position the corresponding business entity.

In relations between commercial organizations, enterprise cards perform the same function as business cards in the process of communication between people, which is why they are often called enterprise business cards.
